How to choose gym management software in Singapore (2026 buyer's guide)

In short: choose gym management software that (1) bills automatically through PayNow, NETS and cards in SGD, (2) issues 9% GST tax invoices, (3) records PDPA consent and avoids collecting full NRIC numbers, (4) includes a member booking app, and (5) fits your business model, whether that's memberships and door access for a gym or class packs and waitlists for a studio. Then compare total cost including payment fees, not just the monthly subscription.

1. The core features every gym needs

Whatever the size of your gym, these are non-negotiable:

  • Membership management: plans, contracts, freezes, upgrades and cancellations.
  • Recurring billing: automatic charges on the due date, with retries and alerts for failed payments.
  • Booking: classes and personal training sessions, booked by members from their phone.
  • Check-in: at minimum a QR code at the front desk; door or turnstile integration for 24-hour gyms.
  • Staff roles: front desk, trainers and managers should each see only what they need.
  • Reporting: revenue, active members, churn and outstanding payments without exporting to Excel.

2. Singapore-specific requirements

This is where many overseas platforms fall short. Test each one in a demo, not on a feature page.

PayNow and NETS

Many Singapore members prefer PayNow to giving a gym their card. Check whether PayNow is built in or needs a separate payment link, and how renewals work for PayNow members, since PayNow is not automatically recurring the way cards are.

GST tax invoices

If your business is GST-registered, every invoice must carry your GST registration number and show GST at the current rate of 9%. Ask to see a sample invoice. Also check that the software handles the switch smoothly if you register for GST later.

PDPA compliance

Under the Personal Data Protection Act, you are responsible for the member data you collect, even when it sits in a vendor's system. The software should record consent at sign-up, keep marketing consent separate, restrict staff access and let you export or delete a member's data on request. SGD billing and local support

Software billed in USD costs more than the sticker price once FX fees are added, and the cost moves with the exchange rate. Support teams based in other time zones may only be available outside your opening hours.

4. What it really costs

Gym management software in Singapore typically costs S$100 to S$600 a month. To compare vendors fairly, work out the first-year total:

  1. Monthly subscription × 12, plus 9% GST
  2. Setup, onboarding and data migration fees
  3. Payment processing fees on your expected monthly revenue (often the largest cost)
  4. Add-ons: branded app, SMS credits, access control hardware, extra outlets or staff logins

5. Ten questions to ask every vendor

  1. Is PayNow built in, and how do PayNow members renew each month?
  2. Can I see a sample GST tax invoice?
  3. Where is member data stored, and how do I export all of it if I leave?
  4. How do I handle a member's request to access or delete their data?
  5. What are your card and PayNow processing fees, in writing?
  6. Can you migrate card payment details from my current provider, or will members need to re-enter them?
  7. Is the member app included, and is it branded with my gym's name?
  8. What are your support hours in Singapore time, and how do I reach you?
  9. What is the notice period to cancel, and are there lock-in contracts?
  10. Are you on the PSG pre-approved list, and if so, for which package?

6. How to switch without losing members

  1. Export everything from your current system: members, plans, end dates, remaining sessions and payment history.
  2. Pick a switch date just after a billing run so no member is charged twice or missed.
  3. Run both systems in parallel for one billing cycle if card details cannot be migrated.
  4. Tell members early: what changes, which app to download, and that their membership terms stay the same.
  5. Reconcile the first month's payments line by line against your old system.
